Terms & Conditions
Summary
These Terms & Conditions apply to all tours and travel services booked with Naturewise Tours, a locally owned adventure travel company based in Arusha, Tanzania. These Terms & Conditions govern the contractual relationship between Naturewise Tours and the client.
Please read these Terms & Conditions carefully. By booking a tour with Naturewise Tours, you acknowledge that you have read, understood, accepted, and agreed to be bound by these Terms & Conditions.
The person who confirms the booking is considered the designated contact person for all clients included in that booking and is responsible for communicating these Terms & Conditions to all members of the group. All clients named in the booking are deemed to have accepted and agreed to these Terms & Conditions.
Quotes & Costs
Quotations are based on anticipated costs and may be amended if those costs increase or decrease due to circumstances beyond the control of Naturewise Tours.
Quoted prices are generally based on per-person sharing and double occupancy, unless otherwise indicated. Prices include planning, handling, and operational charges and are based on the current rates of exchange, tariffs, taxes, and applicable charges at the time of quotation.
Naturewise Tours reserves the right to adjust prices where necessary to reflect increases in costs, tariffs, taxes, VAT, government charges, or fluctuations in foreign exchange rates occurring after the quotation has been issued.
Naturewise Tours is under no obligation to provide a detailed breakdown of the costs of any journey. Changes to group arrangements to accommodate a smaller group size will not necessarily result in a reduction of the published program price.
Booking & Payments
A booking is confirmed only upon receipt of the required deposit as specified in the booking confirmation.
A 25% deposit is required to secure the booking and allow Naturewise Tours to begin the necessary reservation, planning, and ground preparation processes.
Payment instructions will be provided to the client through the booking confirmation or other official communication channels.
Full payment must be received no later than the final-payment deadline stated in the booking confirmation.
Naturewise Tours accepts payment by bank transfer, credit card, or other payment methods specified by the company.
All payments made to Naturewise Tours should be free of bank charges, transfer fees, and applicable credit-card transaction surcharges unless otherwise agreed in writing.
Cancellation Policy
Cancellations by the client must be made in writing. The following cancellation terms apply:
- 45 days before departure: A cancellation fee of 25% of the total booking cost will apply.
- 30 days before departure: A cancellation fee of 50% of the total booking cost will apply.
- Within 15 days of departure: A cancellation fee of 100% of the total booking cost will apply.
Cancellation fees are calculated based on the date written cancellation notification is received by Naturewise Tours.
Where a refund is applicable, Naturewise Tours will process the refund within 7 days of cancellation confirmation, subject to any applicable banking or payment-processing procedures.
If a client requests to transfer a booking to another travel date, such changes are subject to availability and may incur additional charges.
Changes to Bookings
Client Requests
Requests by clients to change confirmed bookings are subject to availability and may incur additional charges.
Changes may include, without limitation, changes to travel dates, accommodation, activities, transportation arrangements, or other confirmed services.
Any additional costs resulting from a client-requested change will be communicated to the client before the change is confirmed were reasonably practicable.
Changes by Naturewise Tours
Naturewise Tours reserves the right to modify itineraries, accommodation, transportation, activities, or other travel arrangements where necessary due to weather conditions, safety concerns, availability, road conditions, government requirements, or other circumstances beyond its reasonable control.
Where a proposed service becomes unavailable, Naturewise Tours may offer a suitable alternative of comparable standard were reasonably practicable.
Any significant changes will be communicated to clients as soon as reasonably possible.
Inoculation, Immunization & Medication
Travelers are responsible for familiarizing themselves with the inoculation, immunization, vaccination, health, and medication requirements applicable to the countries and destinations they intend to visit.
Clients must take all necessary health precautions and obtain any required vaccinations or medical documentation before travel.
Naturewise Tours does not provide medical advice, and travellers should consult an appropriately qualified healthcare professional regarding health requirements for their trip.
Health & Safety
Clients are responsible for ensuring that they meet all applicable health requirements before travel, including obtaining any necessary vaccinations, medical documentation, or other health clearances.
Clients must follow all reasonable safety instructions provided by Naturewise Tours guides, representatives, service providers, and other authorized personnel.
Clients should inform Naturewise Tours before travel of any health condition, disability, or other circumstance that may affect their ability to participate safely in the tour.
Naturewise Tours reserves the right to modify or restrict participation in an activity where reasonably necessary due to safety concerns.
Travel Insurance
Naturewise Tours strongly recommends that all travellers obtain suitable comprehensive travel insurance before commencing their journey.
Travel insurance should, where appropriate, provide cover for medical expenses, personal accidents, trip cancellation or interruption, baggage loss or damage, personal liability, and other travel-related risks.
Clients are responsible for ensuring that their insurance policy provides adequate coverage for the activities and destinations included in their itinerary.
Unforeseen Circumstances & Force Majeure
Naturewise Tours shall not be held responsible for delays, cancellations, changes, losses, or additional costs arising from circumstances beyond its reasonable control.
Such circumstances may include, without limitation:
- Severe weather conditions.
- Floods, fires, or natural disasters.
- Accidents
- War or threat of war.
- Civil unrest or disturbances.
- Government intervention or restrictions.
- Epidemics or pandemics.
- Changes to government regulations.
- Road closures or unexpected travel restrictions.
- Other circumstances that could not reasonably have been anticipated or prevented
Where such circumstances occur, Naturewise Tours will communicate relevant information to the client as soon as reasonably possible and will make reasonable efforts to minimize the impact on the journey.
Active Experiences & Fitness Requirements
Certain Naturewise Tours experiences may include walking, hiking, trekking, climbing, canoeing, or other physically active activities.
Clients participating in such experiences must have an appropriate level of fitness for the selected activity.
Clients must notify Naturewise Tours in advance of any physical condition, disability, or other circumstance that could create a safety risk to themselves or others.
Naturewise Tours reserves the right to decline participation in an activity where, in its reasonable judgment, a participant’s condition or fitness level presents a significant safety concern.
Clients should request clarification regarding the physical requirements of a particular tour or activity before booking.
Passport & VisaIt is the responsibility of each traveller to ensure that their passport, visa, permits, and other required travel documents are valid for the countries and destinations included in their itinerary.
Visa requirements vary according to nationality and may change. Travelers should confirm the current requirements with the relevant embassy, consulate, immigration authority, or official government source before travelling.
Passports should generally have sufficient validity for the intended journey and any additional validity required by the relevant immigration authorities.
Naturewise Tours cannot be held responsible for a client’s failure to obtain the required passport, visa, permit, or other travel documentation, nor for costs resulting from such failure.
LiabilityClients are responsible for their personal belongings and should take reasonable precautions to protect their valuables throughout the journey.
Clients are also responsible for ensuring that they possess valid passports, visas, permits, travel insurance, and other required travel documentation.
Client ResponsibilitiesClients are expected to:
- Provide accurate information during the booking process.
- Ensure that all required travel documents are valid.
- Meet applicable health and vaccination requirements.
- Follow applicable laws, park regulations, and safety instructions.
- Respect local communities, cultures, wildlife, and the environment.
- Follow reasonable instructions from Naturewise Tours guides and representatives.
- Inform Naturewise Tours of relevant special requirements before travel.
- Make payments within the agreed deadlines.
- Take reasonable care of personal belongings.
Failure to comply with reasonable safety instructions or applicable regulations may result in a client being excluded from an activity where necessary for safety or legal compliance.
Complaints
Any concerns arising during the tour should be reported to the Naturewise Tours representative, guide, or management team as soon as reasonably possible so that the company has an opportunity to address the issue during the trip.
Complaints that cannot be resolved during the trip should be submitted to Naturewise Tours in writing as soon as reasonably practicable after completion of the tour.
Governing Law & Disputes
These Terms & Conditions are governed by the laws of the United Republic of Tanzania.
Any disputes arising out of or in connection with these Terms & Conditions or the services provided by Naturewise Tours shall be resolved in the courts of the United Republic of Tanzania.
Privacy Policy
Clients’ personal information will be handled in accordance with the Naturewise Tours Privacy Policy.
By making a booking, clients acknowledge that certain personal information may be collected and used as reasonably necessary to process bookings, arrange travel services, communicate with clients, and provide the services included in the confirmed itinerary.
Updating of These Terms & Conditions
Naturewise Tours reserves the right to change, modify, add to, or remove portions of these Terms & Conditions from time to time.
Any updated Terms & Conditions will become effective when published on the Naturewise Tours website or otherwise communicated to clients.
The Terms & Conditions applicable to a confirmed booking will generally be those accepted by the client at the time of booking, subject to any legally required changes or amendments communicated thereafter.
Acceptance of Terms
By making a booking with Naturewise Tours, the client confirms that they have read, understood, and agreed to these Terms & Conditions on behalf of themselves and, where applicable, all other travelers included in the booking.
